Subcontract truck driver invoice basics
A subcontract truck driver invoice is still your tax invoice — even when the paper trail starts with their booking. Hauling for a freight company or agent doesn’t mean they “do your invoices.” You’re usually still ABN-registered and still need a proper tax invoice if you’re GST-registered.
Bill against the job ref they gave you. Put their company name as the customer. Keep your BSB and account on every invoice so accounts payable can’t stall on “what’s your bank?”.

- Dates hauled, rate, GST, total AUD
- Due date and bank details
When to send it
Send as soon as the run is delivered and confirmed — not when their accounts email reminds you. Subcontract pay cycles are already slow; your delay stacks on theirs.
If they want one weekly invoice for several jobs, bundle delivered runs for that customer. Don’t leave five unfinished PDFs in Drafts.
GST and getting paid
If you’re GST-registered, show GST separately. If you’re under the threshold and not registered, don’t invent GST — clear rates still matter.
Chase politely the day after due, with invoice number and amount. Hold new work if the same customer is always late.
