1. Who we are
OwnerHaul is a product of Vireon Dynamics (ABN 16 835 107 186) (“we”, “us”, “our”). We provide software for Australian owner-drivers to manage jobs, invoices, fuel and costs, GST/BAS summaries, and related business records.
This policy explains how we collect, use, store, and disclose personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs), where they apply to us.

2. What we collect
Depending on how you use OwnerHaul, we may collect:
Account & profile
- Name, email address, and password (stored as a secure hash)
- Business details you enter (business name, ABN, phone, address, bank name, BSB, account number, GST registration, payment terms)
- Subscription and billing status (via Stripe)
Business content you create
- Jobs/loads, customers, invoices, quotes, fuel entries, expenses, and notes
- Receipt and document images you upload (including HEIC where supported)
- Vehicle details and reminder dates
- Voice or text notes you submit to AI helpers
Customer & payee data you enter
Names, emails, phones, ABNs, and addresses of your customers or contacts. You control this data; we process it only to provide the service (for example, sending invoices you request).
Technical & usage data
- IP address, device/browser type, approximate location derived from IP
- Pages viewed, feature use, and diagnostic logs
- Cookies and similar technologies (see section 8)
Payment data
Card and bank details for your OwnerHaul subscription are collected and processed by Stripe, not stored on our servers. If you enable Stripe Connect to accept card payments on invoices, Stripe also processes payout and identity information under Stripe's terms.
Google Calendar (optional)
If you connect Google Calendar, we receive OAuth tokens and calendar event data needed to sync jobs with a dedicated “OwnerHaul jobs” calendar (create, update, and delete linked events). Tokens are stored encrypted. You can disconnect anytime in My details; we do not sync your personal calendars outside that OwnerHaul calendar.
3. How we collect it
- Directly from you when you register, fill forms, upload files, or use AI features
- Automatically through the app, website, cookies, and server logs
- From payment providers (Stripe) about subscription status and Connect onboarding
We do not buy marketing lists of drivers. If someone else creates an account that includes your details in error, contact us and we will help correct or delete it.
4. Why we use personal information
- To provide, maintain, and improve OwnerHaul
- To authenticate you and secure your account
- To send invoices, reminders, and other emails you ask us to send on your behalf
- To run AI helpers (for example parsing notes or receipts) when you use those features
- To bill subscriptions, manage trials, and prevent fraud
- To send service emails (security, billing, product notices)
- Optionally, product tips or lifecycle emails about OwnerHaul — you can ask us to stop
- To analyse aggregate usage and fix bugs
- To meet legal obligations
5. AI processing
Some features send content you provide (notes, receipt images, or similar) to AI providers we contract with (currently including Amazon Bedrock / related AWS services) so we can return structured suggestions. We use that content to deliver the feature you requested — not to sell your data.
AI output can be wrong. Always check invoices, GST figures, and extracted amounts before you send or lodge anything. OwnerHaul is not tax, accounting, or legal advice.
6. Who we share information with
We use service providers to run the product. Typical categories are listed below; a current table is on our Subprocessors page:
- Hosting & infrastructure — e.g. Vercel (app hosting), Neon (database)
- Payments — Stripe (subscription billing; Connect if you enable card pay on invoices)
- Email delivery — Resend (transactional and customer-facing emails you trigger)
- AI processing — AWS / Amazon Bedrock for opted-in helpers
- Analytics — Google Analytics (site and app usage, if configured)
- Calendar sync — Google Calendar API when you opt in to connect your calendar
We may disclose information if required by law, to protect rights and safety, or in a business transfer (sale, merger) with appropriate protections.
We do not sell your personal information.
7. Overseas disclosure
Some providers store or process data outside Australia (for example in the United States or other regions where they operate). Where we disclose personal information overseas, we take reasonable steps consistent with the APPs, including contractual safeguards with providers.
8. Cookies and similar tech
We use cookies and local storage to:
- Keep you signed in (session / authentication cookies)
- Remember preferences
- Measure traffic and feature use (e.g. Google Analytics)
You can block cookies in your browser; some features (including sign-in) may not work without essential cookies. See our short Cookies page for a plain-English summary.
9. Storage and security
We use industry-standard measures (encryption in transit, access controls, hashed passwords). No method of transmission or storage is 100% secure. Keep your password private and use a unique one.
We keep personal information while your account is active and for a reasonable period afterward (for backups, dispute resolution, and legal retention). You may request deletion — see below.
10. Access, correction, and deletion
You can update much of your profile and business data in the app under My details. For access, correction, export, or deletion of personal information we hold, email ownerhaul@vireondynamics.com. We will respond within a reasonable time and may need to verify your identity.
Deleting an account removes or de-identifies personal data we no longer need, except where we must retain records (for example billing or legal requirements).
11. Children
OwnerHaul is for business users. We do not knowingly collect personal information from children under 16. If you believe we have, contact us and we will delete it.
12. Complaints
If you have a privacy concern, contact us first at ownerhaul@vireondynamics.com. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
13. Changes
We may update this policy from time to time. The “Effective” date at the top will change. Continued use of OwnerHaul after an update means you accept the revised policy. Material changes may also be notified by email or in-app notice.
